Daily Brief: How to set retention and DLP before staff paste work into enterprise AI

November 7, 2026

Answer capsule

Before staff paste client files into workplace AI, configure retention and DLP first: OpenAI says Enterprise workspace admins control how long chats are kept and that business data is not used for training by default; Google’s DLP for Gemini can block or audit access to sensitive Drive sources. Sources: OpenAI Enterprise privacy and Google Workspace Help below.

Steps

  1. Decide retention before the first sensitive prompt. OpenAI’s Enterprise privacy page states that workspace admins control how long data is retained for ChatGPT Enterprise (and related managed workspaces), and that deleted conversations are removed from OpenAI systems within 30 days unless law requires longer. Set the policy with security and records owners so chat history length matches your retention schedule—not a default nobody reviewed. (OpenAI)
  2. Tell staff what admins can already see. OpenAI notes that end users see their own conversations, while workspace admins can access an audit log of conversations and GPTs through the Enterprise Compliance API. Publish that fact in plain language so people do not treat enterprise chat as a private notebook for regulated or client-confidential drafts. (OpenAI)
  3. Block Gemini from grounding on labelled sensitive Drive files. Google Workspace Help describes DLP for Gemini: you define data-protection rules, DLP scans sources Gemini would use (user text, linked sources, and Drive content it finds), then Block data access stops Gemini from using that source (and logs the event) or Audit only logs without interrupting. Prefer Block for classification labels such as need-to-know, and for predefined detectors like government IDs where your policy forbids AI grounding. (Google Workspace Help — DLP for Gemini)
  4. Align Gemini conversation retention with Vault, then test on a small OU. Google Vault lets admins set custom or default retention rules for Gemini app messages (prompts and responses), from a fixed number of days up to indefinite hold. Vault rules take precedence over Admin-console history settings and user deletes for hold/export purposes. Google warns that a misconfigured rule can purge data immediately—test on a small organizational unit before org-wide apply. (Google Vault)
  5. Pair controls with a paste rule staff can follow in one minute. Keep the operator rule short: approved enterprise tools only; no secrets, customer PII, or regulated extracts in prompts; if DLP blocks a source, escalate rather than paste the same content into a personal model. Name who reviews outputs that leave draft. Controls without a paste rule still leak through copy-paste; a paste rule without retention and DLP leaves no evidence trail.

Do not paste / human review

  • Do not paste: secrets, API keys, customer PII, confidential client files, regulated data, HR records, or full contract text into public models—or into enterprise AI when your classification forbids it.
  • Human review: a named owner checks accuracy, citations, and fitness for purpose before the output is used, shared, acted on, or sent—and before any tool call that writes or sends outside draft.

Safe-use checklist

  • Confirm Enterprise (or equivalent) workspace: no-training-by-default and admin-controlled retention (OpenAI).
  • Publish what Compliance API / admin audit can access so staff know enterprise chat is not private.
  • Turn on DLP for Gemini with Block for high-sensitivity Drive labels; use Audit only while tuning false positives (Google).
  • Set Vault retention for Gemini app messages; test on a small OU before org-wide rules (Google Vault).
  • Keep a one-minute paste rule next to the approved-tool list; route blocked prompts to a named escalation contact.
  • Re-check rules when you enable new AI features, connectors, or Studio/agent flows that expand data access.
  • Deeper hub pages on this site are still forthcoming; use the Steps above as the working workflow until then.
